JOB DESCRIPTION
The Arts Administration Intern facilitates the operations of Door Shakespeare’s administrative offices by participating in areas of theater management including development, marketing, box office, retail, and company management. Door Shakespeare believes in providing a well-rounded experience for our interns in their chosen field with additional opportunities to explore all areas of the theater. We are dedicated to providing a supportive learning environment supplemented with high levels of responsibility and flexible learning opportunities guided by individual talents and interests.
In addition to arts administration responsibilities, the internship includes work in the Björklunden Lodge. Responsibilities include the following.
- Preparing the dining room for Lodge Guests.
- Preparing lodging rooms for Björklunden Guests.
OUTDOOR THEATER
Door Shakespeare performs outdoors on a wooden stage abutting Lake Michigan in Björklunden, Baileys Harbor, Wisconsin. The company is invested in safety and accessibility for all performers and, with that, wants everyone to know that work days will involve outdoor rehearsal and performance in fluctuating temperature and weather conditions.
TRANSPORTATION
While Door County is a tourist destination known for its natural beauty, it does not have public transportation. During the 2025 season, interns need to arrange their own transportation to, and within, Door County.
HOUSING
Dormitory-style housing is provided in the Björklunden Lodge. Each dorm room has up to 5 students with a shared bathroom, kitchen, and common area. The Björklunden Lodge is a magnificent two-story, 37,000-square-foot lodge containing a great room, three seminar rooms, a dining room, a kitchen, and 22 guest rooms. There are two lakeside decks, a second-story observation deck, an elevator, and a computer lab. The entire facility has wireless Internet access and ample parking.
SCHEDULE
During the rehearsal period, arts administration interns traditionally work five days a week, from 10 a.m. to 6 pm, with a forty-five minute lunch break. During the last week of rehearsal, and throughout the performance schedule, hours shift to later in the day (2 p.m. to 11 p.m.) in order to match performance schedules.
DURING REHEARSAL PERIOD
During the rehearsal period, arts administration interns receive training in box office and concession duties including customer service, tickets sales, marketing, inventory tracking, sales, and some bookkeeping.
DURING PERFORMANCE PERIOD
Once the season opens, arts administration interns spend afternoons in the daytime box office. In the early evening, they set up the concessions area and help the house management and box office teams prepare for the audience’s arrival.
When the house opens, arts administration interns sell concessions. After the show begins, there is quiet time to complete additional duties determined in collaboration with the house manager. At intermission, concession sales resume. Once intermission is over, concessions are stored and the cash register is closed. When the show ends, interns help organize the performance and patron area, and return the cash register and donation baskets back to the daytime box office. The last task is to fill out and file the concessions reconciliation worksheet.
POSTSEASON DUTIES
After performances close, arts administration interns join the production interns, stage management, and leadership teams to help “strike” (clean up and store) the performance space, box office, concessions tent, patron areas, and company housing.
ADDITIONAL DUTIES
Further arts administration duties may include, but are not limited to: understudy tracks, production needs, distribution of marketing materials, public relations (press releases, social media posts, newspaper columns), event planning (fundraising gala, community events, Shake it Up Saturday, Camp Will, and Will in the Woods), data entry, financial reporting, filing, donor recognition, and cleaning and maintenance.
GUIDANCE
The administrative intern reports to the Door Shakespeare business manager and Björklunden operations manager, with additional supervision and support from the Door Shakespeare house manager and producing artistic director. They coordinate closely with the production stage manager and box office manager.
